The Medical Clinic Supervisor is responsible for supervising assigned staff, such as but not limited to Medical Assistants (MAs) and Medical Clerks (MCs), to ensure providers have adequate, well-trained clinical support at all times and patients have access to the best care possible. The Medical Clinic Supervisor will develop their staff to their highest potential and skill set for both professional and clinical skills. They will optimize the efforts of staff to ensure efficient patient flow in and out of exam rooms and work to support the clinical care team to achieve Neighborcare Health's goals for quality care, productivity, and patient satisfaction. Will work in partnership and joint accountability with other team members to achieve Neighborcare Health's Mission, Guiding Principles, Service Commitments and Organizational Goals.

Core responsibilities:

Professional Leadership and Supervision

  • Supervise assigned staff, including but not limited to MAs and MCs, including recruitment, hiring, orientation, training, coaching, and skills development, completion of annual individual learning conversations, retention, and discipline. Work collaboratively with Clinic Manager, Site Medical Director, and Human Resources to provide appropriate and timely follow-up on staff issues

  • Assist Clinic Manager in strategic planning, budget projections, productivity analysis, and other business-related initiatives

  • Ensure appropriate daily staffing and coordinate changes in staff schedules. Maintain time management and PTO requests for assigned staff members

  • Partner with Site Management Team to develop a culture of collaborative team work, problem solving, positive communications, engagement, and flexibility. Act as liaison and foster positive working relationships between their team and all Neighborcare staff, including the Site Management Team, Provider Team, Quality Team, Continuous Improvement Team, Continuous Practice Manager, and clinic support staff

  • Lead regular staff meetings and direct reports and delegate duties as needed to achieve strategic and tactical goals

  • Model, inspire, and hold staff accountable to Neighborcare Health Service Commitments - a Warm Welcome, Respect, Caring, Working Together, and Trusting Relationships - with both internal and external customers. Embrace the Patient Centered Medical Home model and the role of assigned staff in team based care

  • Participate and collaborate as a member of the Site Management Team, including organizational planning, efficient patient flow, planning for long term patient care and needs and fiscal management

  • Work collaboratively as member of Medical Practice Leadership team. Coordinate initiatives across sites

  • Supervise and train students, volunteers, and interns/externs assigned to your work team as part of their professional education. Supervise float staff, volunteers, and AmeriCorps members assigned to work team as applicable. Participate in selection, on-boarding, and supervision of Medical Assistant float staff

  • Participate in Neighborcare Health leadership meetings and leadership development activities to enhance professional development

  • Together with the Patient Services Supervisor and Dental Assistant Lead, act as first in line to resolve patient complaints

  • Ensure coordination of responsibilities for cross-coverage for all clinical staff

  • Maintain department costs within budgets levels, including staffing, maintenance, and purchasing

  • Develop and implement new policies and procedures in collaboration with Clinical Leadership and Continuous Improvement teams

  • Act as a resource for MA team regarding clinical practice, policies, and procedures

  • Work with MA team to monitor lab for Clinical Lab Improvement Amendments and OSHA compliances. Ensure MA staff are complying with safety measures at all times

  • Monitor changes in MA Scope of Practice in state or federal law. Collaborate with leaders to set standards to promote MAs working in the top of their certification, within Scope of Practice, and in accordance with laws. Contribute to the creation and maintenance of organizational systems in maintain MA staff certification requirements

  • Establish and manage MA trainings and annual skills assessments, including logistical support, curriculum development, recruitment of faculty, and site selection and timing. Encourage support of leadership for training and reinforce standards and importance post training

  • Maintain professionalism and confidentiality in administration and patient care areas

  • Oversee organization and implementation of assigned-staff-led initiatives all-staff compliance, including annual on-site PPD testing

Quality Improvement

  • Lead and Influence Change Management

  • Communicate with Continuous Improvement team regarding progressive improvement and guidance for assigned staff, and opportunities to advance staff skills and roles through the development, implementation, standardization, and spread of Neighborcare Health systems, workflows, and best practices

  • Proactively and systematically approach problems from the mindset of standardizing work across the clinic and across the organization while being mindful of impacts others and to the entire system. Hold stakeholders and staff accountable

  • Integrate back office work with that of clinic staff, including front desk staff and providers. Approach processes and problems from a systems perspective

  • Lead, develop, and participate in Continuous Improvement and Quality initiative, including monitoring and using clinical data, monthly reports, and mandatory reporting data to improve staff clinical processes and quality to patient care

Eligible candidates have clinical experience as Medical Assistant, LPN, or Certification in other Healthcare related field.
